Privacy Policy

OpenTurn is operated by OpenTurn LLC, a Minnesota limited liability company ("OpenTurn," "we," "us"). This policy explains what information OpenTurn collects when cleaning companies, cleaners, and property managers use our unit turn management and photo-verification platform, and how we use, store, and protect it.
What we collect
Account and company information: name, email, phone, role (cleaner, manager, or admin), and the cleaning company you're associated with.
Property and job data: property addresses, unit types, property manager contact details, job scheduling and status information, and pricing/room/item templates your company configures.
Turn photos: photos taken during inspection and post-clean, used to document room and item condition and to support upcharge claims. Photos are stored in private cloud storage and are only ever accessed through short-lived signed links, never a public URL.
Uploaded documents: contractor onboarding documents such as W-9s and other files a company uploads for its subcontractors.
Location at clock-in/clock-out: when a cleaner starts or finishes a turn, OpenTurn requests a one-time, foreground reading of their device's GPS location to confirm they're at the property. We never track location in the background or at any other time. If a cleaner declines the location permission, the clock-in/out itself still proceeds — the location is best-effort, not a requirement to work. Cleaners, managers, and admins can also choose to share their current location in an in-app chat message; that only happens when a user actively taps to share it.
Google user data
OpenTurn offers an optional Google Calendar integration for property managers, managers/admins, and cleaners. This section describes exactly what that integration does with your Google Account data.
Scope requested: OpenTurn requests exactly one Google OAuth scope — https://www.googleapis.com/auth/calendar.app.created. This scope only lets OpenTurn create, and manage events on, a calendar that OpenTurn itself creates in your Google account. We never request, and this scope does not grant, any access to your primary Google Calendar or any other calendar you own.
What we do with it: when you connect Google Calendar, OpenTurn creates a new, separate secondary calendar in your Google account named "OpenTurn Schedule." All turn events OpenTurn syncs are written only to this dedicated calendar. OpenTurn never reads, lists, or modifies your primary calendar or any other calendar in your account — the integration has no access to them and never requests it.
Calendar invites to property managers who haven't connected Google: when a manager schedules a turn at a property whose property manager has not connected their own Google account, OpenTurn adds that property manager as a real attendee on the Google Calendar event created on the connecting manager's "OpenTurn Schedule" calendar. Google then sends that property manager a native calendar invite email on the connecting manager's behalf. This only happens for property managers who have not connected their own Google account; once a property manager connects their own account, they instead receive turns directly on their own "OpenTurn Schedule" calendar and are no longer added as an attendee.
What's stored: we store the OAuth access token and refresh token issued by Google, tied to the individual property manager, manager/admin, or cleaner account that connected. We use these tokens solely to create, update, and delete events on that user's dedicated "OpenTurn Schedule" calendar as their turns are scheduled, rescheduled, or cancelled.
Retention and deletion: tokens are retained only for as long as the Google Calendar connection remains active. Disconnecting Google Calendar (available at any time from within the app) deletes the stored access and refresh tokens immediately, and makes a best-effort attempt to delete the "OpenTurn Schedule" calendar itself from your Google account. If that deletion call fails or the calendar was already removed, disconnecting still removes your tokens from our systems.
Limited Use disclosure: OpenTurn's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google user data only to provide and improve the Google Calendar sync feature described above, we do not sell it, and we do not use it for advertising.
QuickBooks integration
Cleaning companies can optionally connect QuickBooks Online. This uses an OAuth connection to push finalized invoices — the same invoice data already generated inside OpenTurn from a reviewed job (base rate, approved upcharges, and totals) — into the company's own QuickBooks account, and to record payments back to that invoice. We read only what's needed to match or create the right QuickBooks Customer and Invoice (customer name/email, invoice/payment status); we do not pull any other data out of QuickBooks. QuickBooks access is authenticated using OAuth 2.0 tokens, which are stored only in a restricted, server-side database table that no user-facing account — including yours — can read directly; they are deleted if the connection is disconnected or reconnected. We never sell QuickBooks data, or any other data, to anyone, and we never use it for advertising.
Inbound email processing
Property managers and companies can email job requests to an OpenTurn address at mail.openturn.co. Emails sent to that address are automatically parsed — including by an AI language model — to extract structured job request details (such as property, requested dates, and notes), which are then turned into a draft job for a manager to review before anything is scheduled. This processing is limited to extracting job request information from the email content.
Phone numbers and SMS / text messaging
We collect a phone number when you add one to your OpenTurn profile, or when a property manager provides one for a property they manage. We use phone numbers to identify your account and, where a feature you've enabled calls for it, to contact you about your jobs and turns.
With your explicit, opt-in consent, OpenTurn sends text messages to cleaners and staff about job offers, schedule changes, and account notices. We collect your opt-in choice separately from your phone number — a separate, unchecked checkbox wherever a phone number is entered in the app, never bundled into account creation or any other required step — and record when and how you opted in. You can see, and change, your opt-in status any time from your profile.
We do not share your phone number or SMS opt-in status with third parties or affiliates for their own marketing purposes. Your phone number and consent record are used only to send you the OpenTurn messages described above and are shared only with our SMS delivery provider (Twilio) solely to transmit those messages.
Message frequency varies based on your job activity. Message and data rates may apply from your carrier. You can update or remove your phone number from your profile at any time.
Error reporting
OpenTurn uses Sentry to capture crash reports and errors so we can find and fix bugs. Error reports can include device and app information and a technical description of what went wrong. We scrub signed storage links, raw photo storage paths, and email addresses out of everything sent to Sentry before it leaves the app, and we use error data only to diagnose and fix problems with OpenTurn, never for advertising.
Data retention
We retain account, property, job, photo, and invoice data for as long as your company has an active OpenTurn account, and for a reasonable period afterward to satisfy record-keeping, dispute-resolution, and legal obligations. You can request deletion of your personal data by contacting us at the email below, subject to data we're required to retain for legitimate business or legal reasons.
Security
Every table in our database enforces row-level security scoped to your company, so one cleaning company's data is never visible to another. Turn photos are stored in private cloud storage and are only ever served through short-lived signed URLs, never a public link. Access to production systems is limited to the OpenTurn team members who need it to operate the service.
Your rights and choices
You can access or correct your account information from within the app, and you can disconnect Google Calendar or QuickBooks at any time from within the app, which removes the associated stored tokens as described above. You can delete your own account in-app at any time from Settings — see openturn.co/delete-account for exactly how, and how to request deletion without the app. To request a copy of your data or ask for a correction, contact us at the email below.
Changes to this policy
We may update this policy as OpenTurn changes. If we make a material change, we'll update the effective date above and, where appropriate, notify account holders directly.
